01

What happens after you submit your request?

Ivan or a senior team member will reach out soon. We start with a short calibration conversation to understand the seat, the organization and the pay. That call covers the work, the reporting line, the schedule and the offer you can make, so the brief is right before outreach begins.

If we are not the right fit, we will say so and, where we can, point you somewhere better.

02

What terms apply to a search?

No upfront fee. You pay only if you hire. We offer a candidate replacement guarantee on standard search agreements. The applicable period and exact terms are set out in the signed client recruiting agreement. Our core is permanent/direct-hire recruitment across clinical, operational and leadership roles, including nurses. If you need a temporary or other arrangement, describe the need and we can discuss whether we can help. Responsibilities and terms must be confirmed separately. Your organization retains clinical assessment and credentialing responsibility.

What should you send us about this role?

Send us the role, where the person will work and what needs to change with this hire. We will ask about the work, not just the title. Share any license or schedule limits that could rule someone out before we begin the search.

What will we ask about your open role?

Healthcare Headhunters starts a search with the job you need filled, not a stack of resumes. Tell us the title and where the person will work. The intake helps identify the family, schedule, and urgency. Your request opens a conversation; the agreement defines any placement fee.

We ask which parts of the job the person must already have done. An ICU nurse needs a discussion about the unit and bedside work. A radiologic technologist needs a discussion about modalities and the shift. A leader needs a discussion about the decisions they will own.

Give us the real schedule rather than the broad description on an old posting. Call, nights, weekends, and floating can change a candidate’s answer. So can a move between sites. Explain those duties at the start so we do not approach someone about a different job.

Tell us who interviews and who approves an offer. A practice owner may make the final choice. A hospital may need clinical and employment reviews. We can support communication through that process, but we cannot remove approvals your organization needs.

If the opening is a replacement, say what should change with the new hire. You do not need to name an incumbent or share sensitive records. Explain the work and the problem. A confidential brief can still tell a qualified person enough to consider a conversation.

If you need coverage while the permanent search runs, discuss it as a separate engagement. Our core service hires people onto the employer’s payroll through contingency placement. Temporary arrangements need their own confirmed responsibilities before the clinician starts.

What happens after you send this opening?

We discuss the work and agree the search brief with you. We then contact people whose current background fits it. You decide whom to interview after we have spoken with the candidate and checked the relevant experience.

Can the request cover a title that is not in the picker?

Yes. Enter the title and describe the work. A local title can mean something different from the name another employer uses. We ask about the job itself before choosing the candidate pool.

Does submitting this brief start a billable hourly service?

No. Standard permanent search is contingency placement, not hourly recruiting. The signed agreement sets any placement fee. Submitting the form does not replace that agreement or establish a temporary coverage charge.

What are the fee and payment terms?

No upfront fee. You pay only if you hire. The signed agreement sets the fee and when it is due, along with the placement terms. We agree those terms before the search starts and before any candidate introductions. Temporary or contract coverage is a separate arrangement.

How long will it take to see a short list?

That depends on the job, schedule, available people, and what your employer can offer. We discuss those constraints before outreach and update you as candidates respond. We do not promise a fixed shortlist date. We check the job brief before arranging interviews. Tell us which parts of the role you can change.

What if a candidate receives a counteroffer?

We ask why the person wants to move and discuss competing decisions before an offer. A counteroffer can still change their choice. Keep the duties and offer clear rather than assuming more money settles every concern. Tell us early if parts of your offer cannot change, so the candidate hears it from us first.

What are the replacement terms?

We offer a candidate replacement guarantee on standard search agreements. The applicable period and exact terms are set out in the signed client recruiting agreement. Ask us to walk through those terms before you sign, so you know how a replacement would work for your opening and who would start it.

What do we not do in a standard permanent search?

We do not bill standard contingency search by the hour or simply repost your job. Temporary coverage is a separate arrangement. Any retainer or different engagement must be agreed, not assumed. Tell us early if you need coverage while the permanent search runs.
