What an open seat really costs

What does an open seat cost you every week?

An open role costs you more than the recruiting fee. Someone covers the work, waits for care, or stops a service. We ask what is falling behind and who is carrying it. Use your own figures to compare the cost of waiting with the cost of hiring.

01

The seat is costing you every week.

Overtime, diverted patients, a stretched team and a schedule held together by favors.

02

The posting brought the wrong people.

Applicants arrive, but the person who has done this exact work is employed and not looking.

03

You are the one chasing.

Screening calls, no-shows and follow-ups land on the desk of someone with a facility to run.

The work behind the title

What does this hire really come down to?

Healthcare Headhunters recruits Registered Behavior Technicians, ABA Therapists, and Behavior Technicians for permanent contingency placement. We ask about the actual workday: arriving for assigned sessions, following the supervising clinician’s program, recording observed behavior, completing notes, and reporting questions through the correct channel.

The person does not rewrite goals or make independent program changes. We ask candidates how they follow written instructions, track behavior during a session, and respond when a supervisor changes a direction. We also ask what they do when an instruction is unclear before proceeding.

Schedule fit deserves the same attention as technical experience. A candidate may work well with clients but have limits around early appointments, split schedules, transportation, or notice for absences. We discuss recent scheduled hours, commute planning, availability, and reasons for changing jobs. Someone may seek steadier hours, more direct supervision, or a different client schedule without being a poor employee.

We arrange locum tenens, travel and contract coverage on request. Credentialing, licensing and malpractice coverage are confirmed per engagement before anyone starts.

Screening

What do we check before you see anyone?

We screen for current BACB RBT credential status. We ask about the 40-hour training and initial competency assessment, then review the BACB registry. Your organization completes its own credentialing review before making an offer. We ask candidates to describe a session note they completed.

  • Useful answers separate observed actions, counts, duration, antecedents, and responses from opinions or diagnoses. Your team decides whether the candidate can meet its note format after orientation.
  • We discuss data collection through practical examples. Candidates explain their use of paper forms, timers, tally sheets, or electronic systems. We ask how they handled a missed entry, corrected a record, or reported incomplete data.
  • We review reliability for the scheduled hours you need covered. Questions address attendance history, absence notification, transportation, and availability changes. A short commute may help, but it does not prove dependable attendance.
  • We ask how candidates respond to immediate feedback from a BCBA or another supervisor. Strong answers describe listening, clarifying the correction, changing the next trial or note, and raising later questions at an appropriate time.
  • We explore role boundaries. Candidates should recognize when to document an event and seek supervisor direction rather than changing a program independently. Your clinical leaders determine whether that judgment fits your clients and internal policies.
Sourcing

Where do we find them, and why would they move?

Our source pool includes ABA clinics, psychology and education students, and paraprofessionals. Candidates from ABA clinics may know assigned sessions, repeated data entry, and supervisor observation. They may consider a move for schedules that better match their availability or more regular access to supervision.

Psychology and education students may bring relevant coursework. Paraprofessionals may know classroom routines and student support. Neither background alone shows readiness for individual ABA sessions, formal documentation, or active clinical supervision, so we ask directly about each area.

Avoid these

Which mistakes stall the search?

A common mistake is hiring a classroom support candidate without asking how they collect frequency, duration, or other observed data during an individual session. Another is treating a current BACB listing as the full review, then learning that the candidate cannot work the assigned hours consistently.

03

Accepting “I follow the plan” without asking for an example of receiving supervisor feedback and changing the next session task.

Role-specific search plan

How would we run the search for this opening?

Tell us the scheduled hours, client location, documentation timing, supervision structure, and data tools your RBTs use. We present candidates after screening credential status, work history, documentation experience, schedule fit, and reasons for moving. Use interviews to test response to feedback, understanding of supervised work, and fit with the stated schedule.

Questions

When do we pay for recruitment services?

No upfront fee. You pay only if you hire. We offer a candidate replacement guarantee on standard search agreements. The applicable period and exact terms are set out in the signed client recruiting agreement. An RBT carries out a program under clinical supervision.

What should we ask an RBT about a normal shift?

Ask how the person prepares for assigned sessions, records observed behavior, completes notes, and reports questions to a supervisor. Ask what happens if documentation cannot be finished by the expected time.

Do candidates need current RBT credential status?

For an RBT opening, current BACB RBT credential status is a core screen. We review the registry and discuss the candidate’s 40-hour training and competency assessment. Your organization makes the final credentialing decision.

Can you recruit from school or paraprofessional backgrounds?

Yes: education students and paraprofessionals are part of the source pool, along with ABA clinic candidates. We distinguish classroom support experience from individual ABA session work, data collection, and session documentation.

Can we request contract, travel, or locum coverage?

Yes, coverage options are available on request. Licensing, credentialing, malpractice arrangements, and other terms are confirmed before anyone starts. Per diem placement means adding a clinician to your own pool, not filling single shifts.

Next step

What should you send us about this role?

Send us the role, where the person will work and what needs to change with this hire. We will ask about the work, not just the title. Share any license or schedule limits that could rule someone out before we begin the search.

If you need an RBT who can work the stated hours, document observed behavior carefully, and accept active supervision, tell Healthcare Headhunters what the shift involves. We will screen for those points before you spend interview time.

How long will it take to see a short list?

That depends on the job, schedule, available people, and what your employer can offer. We discuss those constraints before outreach and update you as candidates respond. We do not promise a fixed shortlist date. We check the job brief before arranging interviews. Tell us which parts of the role you can change.

What if a candidate receives a counteroffer?

We ask why the person wants to move and discuss competing decisions before an offer. A counteroffer can still change their choice. Keep the duties and offer clear rather than assuming more money settles every concern. Tell us early if parts of your offer cannot change, so the candidate hears it from us first.

What are the replacement terms?

We offer a candidate replacement guarantee on standard search agreements. The applicable period and exact terms are set out in the signed client recruiting agreement. Ask us to walk through those terms before you sign, so you know how a replacement would work for your opening and who would start it.

What do we not do in a standard permanent search?

We do not bill standard contingency search by the hour or simply repost your job. Temporary coverage is a separate arrangement. Any retainer or different engagement must be agreed, not assumed. Tell us early if you need coverage while the permanent search runs.
