What an open seat really costs

What does an open seat cost you every week?

An open role costs you more than the recruiting fee. Someone covers the work, waits for care, or stops a service. We ask what is falling behind and who is carrying it. Use your own figures to compare the cost of waiting with the cost of hiring.

01

The seat is costing you every week.

Overtime, diverted patients, a stretched team and a schedule held together by favors.

02

The posting brought the wrong people.

Applicants arrive, but the person who has done this exact work is employed and not looking.

03

You are the one chasing.

Screening calls, no-shows and follow-ups land on the desk of someone with a facility to run.

The work behind the title

What does this hire really come down to?

An EHR go-live support nurse provides at-the-elbow help during an electronic medical record conversion. On a shift, this person answers documentation questions, demonstrates approved workflows, and reports defects through your escalation process. We screen for nursing credentials, recent system experience, and coaching judgment.

You define the clinical boundaries, access permissions, coverage hours, and decisions that remain with your care team.

Start by separating workflow support from patient care. A nurse who explains where to record an assessment is doing different work from a nurse assigned to perform that assessment. If the position includes clinical assignments, describe them explicitly. Otherwise, staff should know that the support nurse does not take over their patient assignments.

Next, distinguish familiarity with an EHR from conversion experience. Someone may document confidently in one department yet struggle to teach another department's approved process. Ask how the candidate learned revised workflows, handled conflicting instructions, and routed unresolved questions. Useful answers name the issue, the decision owner, and the information passed forward.

We arrange locum tenens, travel and contract coverage on request. Credentialing, licensing and malpractice coverage are confirmed per engagement before anyone starts.

Screening

What do we check before you see anyone?

Ask, “Which EHR, modules, and nursing workflows have you supported?” Look for specific examples involving assessments, medication documentation, care plans, or handoff records. Separate routine user experience from actual go-live support. Ask, “How would you help a nurse who cannot find the approved documentation field?”

  • A useful answer describes observing the problem, consulting approved guidance, and coaching the staff member without borrowing credentials or recording care for them.
  • Ask, “What would you do if two trainers gave different instructions?” Look for reference to your workflow owner and current training materials. Guessing from a previous employer's build is not a sound answer.
  • Ask, “How would you report a suspected system defect?” The answer should include the affected workflow, reproducible steps, appropriate screenshots under your privacy rules, and the escalation route. Patient identifiers should not enter informal messages.
  • Ask, “How do you handle several staff members asking for help at once?” Listen for a practical triage method, communication with the support lead, and referral of clinical concerns to the responsible care team.
  • Ask, “What nursing license do you hold, and where is it active?” Confirm the license needed for your assignment. Also check training records and dates of relevant support work rather than treating a course certificate as proof of conversion experience.
Sourcing

Where do we find them, and why would they move?

We can look among hospital nurse superusers, clinical informatics teams, nursing educators, and nurses with previous conversion assignments. These backgrounds offer different strengths. A superuser may know department routines closely. An educator may explain unfamiliar steps clearly. An informatics nurse may have stronger experience translating user reports into actionable tickets.

Ask why each candidate wants this assignment. Those reasons do not establish fit by themselves. We compare the candidate's availability, workflow experience, and travel limits with your rollout schedule and support expectations.

Avoid these

Which mistakes stall the search?

A common mistake is hiring on an EHR name alone. Different builds, modules, and local workflows can make apparently similar experience a poor match for the screens your nurses will use. Another is leaving escalation ownership unclear. If a support nurse cannot identify who resolves access issues, workflow disputes, and clinical concerns, staff may receive conflicting answers.

03

Skipping access preparation. Confirm training completion, approved permissions, reporting tools, and unit contacts before assigning support rounds. Experienced candidates still need your site's instructions.

Role-specific search plan

How would we run the search for this opening?

Tell us which departments are converting, which workflows need coaching, and whether the role includes patient care. We screen credentials, work history, and fit through workflow questions and assignment details. Credentialing, licensing and malpractice coverage are confirmed per engagement before anyone starts.

01

Define the assignment

Identify shift coverage, location, reporting lines, and your expected handoff between support teams.

02

Review relevant evidence

You complete your own credentialing and clinical assessment, including any demonstration needed to assess work within your EHR build.

03

Confirm the arrangement

No upfront fee. You pay only if you hire. We offer a candidate replacement guarantee on standard search agreements. The applicable period and exact terms are set out in the signed client recruiting agreement. We arrange locum tenens, travel and contract coverage on request.

Questions

Does every support nurse need previous go-live experience?

Not necessarily, but the distinction matters. For independent floor support, ask for conversion examples; for a supervised assignment, strong teaching experience and verified workflow knowledge may be relevant. A nurse may want project-based work, a different shift pattern, or more time teaching colleagues.

Can the support nurse correct another nurse's charting?

Set that boundary before the assignment. Coaching someone through a correction differs from editing their record, which must follow your access rules and documentation policy.

Should we request vendor certification?

Request it when it matches the assigned work. A preferred certificate is not a universal legal mandate or a substitute for demonstrating your nursing workflows.

How should we assess night-shift support?

Ask how the candidate escalates issues when trainers or analysts are unavailable. Provide the actual overnight contacts and review what the support nurse should hand off.

What should support nurses report after each shift?

Specify unresolved tickets, recurring workflow questions, and teaching gaps. Ask for concise reports that help your project lead distinguish training needs from access problems or suspected defects.

Next step

What should you send us about this role?

Send us the role, where the person will work and what needs to change with this hire. We will ask about the work, not just the title. Share any license or schedule limits that could rule someone out before we begin the search.

Share your conversion scope and support boundaries with Healthcare Headhunters. We can help you assess candidates against the nursing workflows your staff will actually use.

How long will it take to see a short list?

That depends on the job, schedule, available people, and what your employer can offer. We discuss those constraints before outreach and update you as candidates respond. We do not promise a fixed shortlist date. We check the job brief before arranging interviews. Tell us which parts of the role you can change.

What if a candidate receives a counteroffer?

We ask why the person wants to move and discuss competing decisions before an offer. A counteroffer can still change their choice. Keep the duties and offer clear rather than assuming more money settles every concern. Tell us early if parts of your offer cannot change, so the candidate hears it from us first.

What are the replacement terms?

We offer a candidate replacement guarantee on standard search agreements. The applicable period and exact terms are set out in the signed client recruiting agreement. Ask us to walk through those terms before you sign, so you know how a replacement would work for your opening and who would start it.

What do we not do in a standard permanent search?

We do not bill standard contingency search by the hour or simply repost your job. Temporary coverage is a separate arrangement. Any retainer or different engagement must be agreed, not assumed. Tell us early if you need coverage while the permanent search runs.
