What an open seat really costs

What does an open seat cost you every week?

An open role costs you more than the recruiting fee. Someone covers the work, waits for care, or stops a service. We ask what is falling behind and who is carrying it. Use your own figures to compare the cost of waiting with the cost of hiring.

01

The seat is costing you every week.

Overtime, diverted patients, a stretched team and a schedule held together by favors.

02

The posting brought the wrong people.

Applicants arrive, but the person who has done this exact work is employed and not looking.

03

You are the one chasing.

Screening calls, no-shows and follow-ups land on the desk of someone with a facility to run.

The work behind the title

What does this hire really come down to?

An incomplete verification or unclear privilege request can keep a provider off the schedule. You need a director who finds the open item, identifies who can decide it, and prepares a traceable file for committee action. This leader does more than process applications.

During a shift, they may compare a requested procedure with privilege criteria, review outstanding primary-source items, prepare a reappointment report, and record committee actions. They maintain the records behind appointments, OPPE, FPPE, corrective actions, and medical staff decisions under your bylaws.

Staff may request missing documentation, while a department chair or committee may need to review qualifications or performance. That distinction matters when a provider needs timely privileges but the file cannot yet move forward. Your team makes its own credentialing and clinical assessment.

Screening

What do we check before you see anyone?

NAMSS certification: We verify whether the candidate holds CPMSM or CPCS certification from NAMSS. Either designation may support the work, but you decide whether one is preferred. We ask what they personally review before a file reaches a committee. Bylaws and governance: We ask for a bylaw provision that affected appointment, reappointment, hearing rights, privileges, or committee authority.

  • If they revised bylaws, we ask who drafted the language, who approved it, and how the final version was distributed.
  • OPPE and FPPE records: We ask how they tracked review dates, collected documentation, and followed up when a required review was late. Candidates should know the difference between monitoring the record and making a clinical judgment.
  • TJC and NCQA work: We screen for experience with TJC and NCQA credentialing standards relevant to your setting. We ask how they identified incomplete files, reported recurring gaps, and assembled documentation for survey or audit review.
  • Committee support: We ask candidates to describe an agenda from file review through minutes. They should explain how they mark items for discussion, control confidential material, record motions, and track deferrals or conditions after the meeting.
  • Cycle control and escalation: We ask how they monitor licenses, affiliations, references, malpractice history, and privilege renewals. We also ask when they alert leadership about a delay rather than allowing a file to age without action.
Sourcing

Where do we find them, and why would they move?

We source from medical staff coordinators, credentialing verification organizations, and health plan credentialing teams. These backgrounds can include primary-source verification, recredentialing calendars, provider records, audit files, and committee support. People may explore a move for broader authority over bylaws and committees, responsibility across several sites, or a role beyond production-focused file work.

We ask why they are open to change and whether your reporting structure matches that reason.

Avoid these

Which mistakes stall the search?

A common mistake is hiring a credentialing manager who processed files but never owned committee records, bylaws work, or escalation decisions. Another is assuming TJC experience covers NCQA work, or that health plan credentialing alone prepares someone for medical staff governance.

03

Choosing based on certification without asking how the candidate handled an incomplete privilege file near a committee deadline.

Role-specific search plan

How would we run the search for this opening?

Tell us who owns bylaws, committee support, medical executive committee records, OPPE, FPPE, and privilege criteria. We verify relevant credentials and work history, then ask about incomplete files, committee deferrals, reappointments, and survey preparation. Use your current governance questions with finalists.

01

Map the work

We use that map to distinguish director-level scope from coordinator-level work.

02

Screen the record

You review candidates whose experience matches your open work.

03

Interview against real decisions

If appropriate, ask how they would handle a hypothetical late reappointment or disputed privilege request. Your leadership team makes the final hiring decision.

Questions

Is there an upfront fee for a permanent search?

No upfront fee applies to permanent contingency placement. You pay only if you hire. We offer a candidate replacement guarantee on standard search agreements. The applicable period and exact terms are set out in the signed client recruiting agreement. Ask how a candidate separates an administrative gap from a clinical question.

Should we ask for CPMSM or CPCS?

Both are NAMSS designations and can be useful screens. CPMSM may align with broader leadership scope, while CPCS may show detailed credentialing knowledge. We verify the designation and ask how the candidate used it.

Can a director support a bylaw revision after hire?

They may coordinate drafts, committee review, version control, and communication after approval. Your organization retains authority over bylaw changes. We ask candidates which parts of that process they personally managed.

How do you assess peer review and committee experience?

We ask about the records they prepared, confidential materials they controlled, and follow-up they tracked. We also ask how they handled a missing review before a meeting, without requesting protected details.

Can you help with temporary coverage during the search?

We arrange locum tenens, travel and contract coverage on request. Credentialing, licensing and malpractice coverage are confirmed per engagement before anyone starts. Per diem placement adds a professional to your own pool rather than filling individual shifts.

Next step

What should you send us about this role?

Send us the role, where the person will work and what needs to change with this hire. We will ask about the work, not just the title. Share any license or schedule limits that could rule someone out before we begin the search.

Tell Healthcare Headhunters where files stall, which committees need support, and whether TJC or NCQA experience matters. We will begin a focused permanent search.

No upfront fee. You pay only if you hire. We offer a candidate replacement guarantee on standard search agreements. The applicable period and exact terms are set out in the signed client recruiting agreement.

How long will it take to see a short list?

That depends on the job, schedule, available people, and what your employer can offer. We discuss those constraints before outreach and update you as candidates respond. We do not promise a fixed shortlist date. We check the job brief before arranging interviews. Tell us which parts of the role you can change.

What if a candidate receives a counteroffer?

We ask why the person wants to move and discuss competing decisions before an offer. A counteroffer can still change their choice. Keep the duties and offer clear rather than assuming more money settles every concern. Tell us early if parts of your offer cannot change, so the candidate hears it from us first.

What are the replacement terms?

We offer a candidate replacement guarantee on standard search agreements. The applicable period and exact terms are set out in the signed client recruiting agreement. Ask us to walk through those terms before you sign, so you know how a replacement would work for your opening and who would start it.

What do we not do in a standard permanent search?

We do not bill standard contingency search by the hour or simply repost your job. Temporary coverage is a separate arrangement. Any retainer or different engagement must be agreed, not assumed. Tell us early if you need coverage while the permanent search runs.
