What an open seat really costs

What does an open seat cost you every week?

An open role costs you more than the recruiting fee. Someone covers the work, waits for care, or stops a service. We ask what is falling behind and who is carrying it. Use your own figures to compare the cost of waiting with the cost of hiring.

01

The seat is costing you every week.

Overtime, diverted patients, a stretched team and a schedule held together by favors.

02

The posting brought the wrong people.

Applicants arrive, but the person who has done this exact work is employed and not looking.

03

You are the one chasing.

Screening calls, no-shows and follow-ups land on the desk of someone with a facility to run.

The work behind the title

What does this hire really come down to?

A Sterile Processing Manager, also called an SPD Manager or Director of Sterile Processing, runs the work between used instruments and ready-to-release sets. We help you assess who can lead technicians, address OR concerns, and protect the documented steps behind each load.

This hire must make sound calls when speed conflicts with processing instructions. Ask how they handle a surgeon’s urgent request for a tray while a biological indicator, load record, or assembly check still needs review. The useful answer names the hold, the communication, and the next escalation.

A manager also needs enough floor knowledge to coach staff across shifts. They should read a missing-instrument report, inspect a peel pack concern, review turnaround patterns, and decide whether the cause is point-of-use care, decontamination flow, assembly, equipment downtime, or staff practice.

Screening

What do we check before you see anyone?

Credential status. We screen for CRCST, CIS, or CHL through HSPA, or CBSPD certification, and ask which credential supports their current management work. Your team completes final credentialing and determines which credentials fit the role. Instrument tracking. A candidate should distinguish scanning completion from confirming that the actual contents and processing history match.

  • We ask which tracking system functions they have used, how they investigate an absent tray, and what record they review before releasing a set.
  • Decontamination and assembly judgment. We ask the candidate to describe a shift where damaged instruments, unclear manufacturer instructions, or a wet-pack concern changed the plan. Their explanation should cover segregation, documentation, staff direction, and communication with the OR.
  • AAMI ST79 practice. We ask how they translate AAMI ST79 into daily observations, competency reviews, and load documentation. We look for specific checks rather than a recitation of standard titles.
  • TJC readiness. We discuss how they prepare records, storage areas, staff responses, and corrective-action files for TJC review. We also ask what they would correct first if an internal tracer found inconsistent labeling or expired inventory.
  • Leadership across shifts. We ask how they hand off unresolved equipment, staffing, and tray issues between day, evening, and night teams. We screen work history and fit through these examples; you make the final clinical assessment.
Sourcing

Where do we find them, and why would they move?

We often approach sterile processing supervisors who already lead technicians, manage tray flow, and work directly with OR teams. Some may consider a move when a manager opening offers broader responsibility for equipment, education, quality work, or scheduling decisions. OR leaders are another relevant source pool, particularly those with firsthand responsibility for case readiness and instrument concerns.

They need enough sterile processing depth to lead the department, not simply familiarity with surgical scheduling.

Avoid these

Which mistakes stall the search?

A common mistake is choosing an OR leader who cannot explain decontamination, assembly, sterilizer records, and release decisions in practical terms. Another is treating a certification as proof that the candidate can coach a struggling technician or investigate repeat tray defects.

03

Interviewing only about survey preparation and never testing how the person responds to an incomplete set before a scheduled case.

Role-specific search plan

How would we run the search for this opening?

Tell us about case volume patterns, shift coverage, tracking tools, equipment issues, OR complaints, and the manager’s authority. Meet selected candidates and ask them to work through a hypothetical delayed tray, failed test result, or recurring missing instrument. We recruit permanent direct-hire candidates on contingency.

We use that detail to frame direct screening questions.

02

Review practical judgment

Compare their escalation choices with your department’s practices.

03

Hire under clear terms

No upfront fee. You pay only if you hire. We offer a candidate replacement guarantee on standard search agreements. The applicable period and exact terms are set out in the signed client recruiting agreement.

Questions

Can you recruit a manager who knows our instrument tracking system?

We ask candidates which tracking functions they have used and how they validate tray history, missing items, and sterilization records. Direct experience with your exact platform can help, but sound investigation habits may matter more than a matching software name.

Do candidates need both HSPA and CBSPD credentials?

Not necessarily: we screen for CRCST, CIS, or CHL through HSPA, or CBSPD certification, based on the facts you provide. Your leadership team decides which credential mix suits your opening and credentialing process.

How do you test whether someone can work with the OR?

We ask for examples of conversations about late trays, incomplete sets, add-on cases, and equipment issues. We want to hear what they reported, what they checked, and where they drew a line when processing steps were incomplete.

What if we need interim coverage before a permanent manager starts?

We arrange locum tenens, travel and contract coverage on request. Credentialing, licensing and malpractice coverage are confirmed per engagement before anyone starts; per diem placement means adding someone to your own pool.

Why might a qualified SPD supervisor consider leaving?

A supervisor may seek broader authority over staffing, education, equipment planning, or quality follow-up. Others may want a clearer working relationship with surgical services or a role closer to home. We discuss motivations directly rather than assume why someone is open to a move.

Next step

What should you send us about this role?

Send us the role, where the person will work and what needs to change with this hire. We will ask about the work, not just the title. Share any license or schedule limits that could rule someone out before we begin the search.

Tell us where tray flow breaks down, what your OR expects, and which manager decisions need stronger ownership. We will screen for the evidence behind those answers.

No upfront fee. You pay only if you hire. We offer a candidate replacement guarantee on standard search agreements. The applicable period and exact terms are set out in the signed client recruiting agreement.

How long will it take to see a short list?

That depends on the job, schedule, available people, and what your employer can offer. We discuss those constraints before outreach and update you as candidates respond. We do not promise a fixed shortlist date. We check the job brief before arranging interviews. Tell us which parts of the role you can change.

What if a candidate receives a counteroffer?

We ask why the person wants to move and discuss competing decisions before an offer. A counteroffer can still change their choice. Keep the duties and offer clear rather than assuming more money settles every concern. Tell us early if parts of your offer cannot change, so the candidate hears it from us first.

What are the replacement terms?

We offer a candidate replacement guarantee on standard search agreements. The applicable period and exact terms are set out in the signed client recruiting agreement. Ask us to walk through those terms before you sign, so you know how a replacement would work for your opening and who would start it.

What do we not do in a standard permanent search?

We do not bill standard contingency search by the hour or simply repost your job. Temporary coverage is a separate arrangement. Any retainer or different engagement must be agreed, not assumed. Tell us early if you need coverage while the permanent search runs.
