This is what we do all day: recruit healthcare professionals.

Incomplete diagnosis capture and claim denials can leave remote coding queues without a clear owner.

The work behind the title

What does this hire really come down to?

A remote medical coder reviews signed charts, assigns ICD-10-CM, CPT, and HCPCS codes, and works edits before claims move forward. Your physician group may need one specialty-focused professional-fee coder. Your health system may need someone who can work centralized queues across employed clinics, sites, and provider types.

The useful hiring question is not simply whether a coder has worked from home. Ask what chart types they coded, which edits they resolved, and when they sent a documentation clarification back to a provider. A candidate should explain the difference between selecting a code and supporting it from the final record.

Direct hiring gives you daily control over queue assignment, audit review, and provider feedback. An outsourced service may handle volume, but its staff may not learn your local workflows or recurring documentation gaps.

Screening

What do we check before you see anyone?

Credential status: For roles that call for certification, we verify current AAPC CPC or AHIMA CCS status through official sources. We also ask how the candidate keeps up with annual coding-convention updates. Coding history: We review at least three years of sustained productivity data in ICD-10-CM, CPT, and HCPCS.

  • We ask which specialties, chart volumes, and professional-fee services produced those numbers.
  • Chart-to-code judgment: We ask candidates to describe a difficult completed encounter. They should explain the documentation reviewed, codes selected, edit identified, and reason a claim could move forward or return for clarification.
  • NCCI edit work: We ask how they review NCCI edits and distinguish a supported modifier from an unsupported one. They should describe how they document their reasoning for an audit trail.
  • Provider clarification: We ask for an example of a query or clarification request. The candidate should describe the missing detail, the neutral question sent, and how they handled an incomplete response.
  • Systems and remote work: We review experience with your EMR and encoder, plus remote desktop routines. We ask how they track chart status, report access problems, and continue productive work within approved tools.
  • Coverage and claim timing: We ask about local coverage determinations and finalized claims. The candidate should explain how they flag documentation concerns without changing a clinician’s record or delaying every chart unnecessarily.

These are recruiting discussions about experience and stated credentials, not a substitute for clinical assessment. Your organization completes formal credentialing, license and privilege checks, and the hiring decision.

Sourcing

Where do we find them, and why would they move?

Our search can reach coders from mid-sized physician groups, multispecialty practices, hospital-owned clinics, and larger health systems. A physician-group coder may want deeper specialty ownership. A system coder may seek clearer queue rules after a billing consolidation, software change, or shift in audit practices.

People move for concrete reasons. They may want a narrower specialty focus, steadier feedback, fewer conflicting instructions, or a remote setup with reliable access. We ask what would make a change worthwhile, rather than treating pay as the only factor.

Avoid these

Which mistakes stall the search?

A common mistake is hiring from a résumé title alone. Ask whether the candidate coded the same specialty, professional-fee services, and chart types your team assigns. Another is testing only code recall. Have your team discuss a de-identified chart scenario, an edit, and a provider clarification decision.

03

Assuming a small-practice coder will use a centralized health-system queue the same way. Ask about site rules, audit escalation, and worklist ownership.

Role-specific search plan

How would we run the search for this opening?

Identify the specialties, encounter types, daily queue ownership, and escalation path. Confirm remote desktop access, EMR permissions, encoder tools, and approved communication channels before interviews. Share a de-identified scenario that reflects your work. Before searching, decide whether this role owns a specialty queue, assists several clinics, or supports a broader system coding team.

01

Define the worklist

State whether the coder works only professional-fee claims or supports several clinic teams.

02

Confirm access and review

Decide who reviews early audits and answers coding questions.

03

Interview against real decisions

Compare candidate answers on chart review, edit handling, documentation clarification, and claim disposition.

Questions

What if a finalist receives a counteroffer after reviewing our queue ownership and audit process?

If a candidate receives one, we ask what problem the offer addresses and whether the new role still fits their desired work. Clear information about queue ownership, feedback, reporting lines, and remote tools helps both sides make a considered decision.

How long does it take to find a coder for our specialty?

A focused search starts with your specialty mix, coding scope, credential preference, and remote access process. Interview timing, internal credentialing, and technology setup affect the final start date.

Do we need a CPC or CCS for this role?

That depends on your own role description and payer, system, or department expectations. We screen current CPC or CCS status when your position calls for it, but your team completes final credentialing and assessment.

How do you assess remote coding discipline?

We ask about worklist management, unresolved charts, audit feedback, and communication when documentation is incomplete. We also ask how the person handles a system outage without using unapproved channels or storing protected information locally.

Do you manage payroll, benefits, or malpractice for a permanent hire?

No upfront fee. You pay only if you hire. The permanent coder joins your team, and you handle payroll and benefits; the written agreement states the fee and replacement terms for a standard search.

Next step

What should you send us about this role?

Send us the role, where the person will work and what needs to change with this hire. We will ask about the work, not just the title. Share any license or schedule limits that could rule someone out before we begin the search.

Tell us where charts stall, which specialties create denials, and who reviews coding questions. We will screen for the work decisions your remote coder will face.

No upfront fee. You pay only if you hire. We offer a candidate replacement guarantee on standard search agreements. The applicable period and exact terms are set out in the signed client recruiting agreement.

What are the replacement terms?

We offer a candidate replacement guarantee on standard search agreements. The applicable period and exact terms are set out in the signed client recruiting agreement. Ask us to walk through those terms before you sign, so you know how a replacement would work for your opening and who would start it.

What do we not do in a standard permanent search?

We do not bill standard contingency search by the hour or simply repost your job. Temporary coverage is a separate arrangement. Any retainer or different engagement must be agreed, not assumed. Tell us early if you need coverage while the permanent search runs.
