The work behind the title

What does this hire really come down to?

An Epic clinical analyst spends the day reviewing tickets, meeting clinical owners, comparing requests with current build, testing approved changes, documenting releases, and answering follow-up questions. Your opening may support Ambulatory, ClinDoc, OpTime, ASAP, Willow, Beaker, or Radiant. The module changes the records, users, approvals, and connected teams involved. Healthcare Headhunters recruits permanent Epic clinical analysts on a contingency basis. No upfront fee. You pay only if you hire. Your team completes its own credentialing, technical assessment, and clinical workflow review.

Certification reflects module training, not whether someone built records, maintained inherited configuration, or routed requests. Ask what they changed, which users or departments were affected, who approved it, and what they tested before release.

A complaint may reflect duplicate fields, security, preference lists, training, or upstream configuration, not new build. Ask where the user stopped, expected results, involved records, and which team should review.

The work differs across this role family. An Ambulatory analyst may examine visit documentation and order workflows. A ClinDoc analyst may work with inpatient documentation. OpTime involves perioperative records and preference lists. ASAP supports emergency workflows. Willow, Beaker, and Radiant each involve pharmacy, laboratory, or imaging teams. We match direct module evidence to the work you need done.

Experience that matters

What do we ask candidates about?

  • Epic certification in the specific module. We confirm current certification status and direct work in the module you need. Ambulatory certification alone does not prove hands-on Beaker, Willow, ASAP, Radiant, ClinDoc, or OpTime work. A preferred certificate is discussed as a hiring preference, not treated as a universal legal rule.
  • Build versus support history. We ask whether the analyst created records, templates, order sets, preference lists, rules, or security changes. We also ask about ticket intake, user follow-up, defect correction, release notes, and backlog review. Your hire may need one strength more than the other.
  • Go-live and upgrade work. We ask what the candidate owned before release, during activation, and after users reported issues. Strong answers describe test scripts, defect logs, build review, change approval, command-center questions, and cleanup. Attending a go-live differs from owning deliverables.
  • Clinical request intake. We ask for an example where one group’s request affected another department. The candidate should explain the questions asked, the clinical owner consulted, the choice made, and how they explained a decision not to make the requested change.
  • Testing and release discipline. We ask how the analyst compares proposed build with current configuration before a production release. We ask what they record when results differ from expectations, who reviews the issue, and when they return a request for clarification.
  • Documentation and handoffs. We screen for notes that identify the build decision, testing result, release date, unresolved questions, and responsible owner. Clear records let another analyst continue the work and help leaders trace an earlier workflow choice.

We discuss experience and qualifications. Your team assesses clinical ability and completes the credential checks before hiring.

Finding people

Where do we look, and why would they move?

We speak with analysts at health systems using Epic. Ask what is changing in their role, such as module ownership, clinical partners, work arrangement, or project-to-permanent plans; do not assume why.

We also recruit from Epic consulting firms and former EHR vendor staff. Consulting professionals may seek a permanent team after repeated assignments. Former vendor staff may know product behavior well. We still test for customer-side build, testing, release, and support work.

Avoid these

Which mistakes stall the search?

01

Treating any Epic certification as proof of fit. Ask what the finalist personally configured and supported in your module, not what adjacent projects they observed.

02

Hiring a project builder for a ticket-heavy support job. Design sessions and release work differ from daily triage, user updates, defect follow-up, and documentation cleanup.

03

Leaving decision rights unclear. Tell candidates who makes the final call when a request affects clinical workflow, security, reporting, pharmacy, laboratory, imaging, or another Epic team.

Questions

What do employers ask us?

Do we need a separate analyst for each Epic module?

Often, yes, when the position involves deep module build or a substantial backlog. Some analysts have related experience across modules, but we verify what they personally configured and supported.

How do you assess whether an analyst can work with clinicians?

We ask for specific examples of request intake, workflow observation, and feedback after release. We listen for questions about the user’s task, not broad claims about communication.

What should we ask about go-live or upgrade experience?

Ask what the candidate owned before, during, and after the event. A useful answer covers build review, testing, issue logging, user questions, defect correction, and release documentation.

Can you help with contract, travel, or per diem coverage?

Permanent/direct-hire recruitment is our core service across clinical, operational and leadership roles. If you need a temporary or other arrangement, describe the need so we can discuss whether we can help. Responsibilities and terms must be confirmed separately for that engagement. Your organization retains clinical assessment and credentialing responsibility.

What do we pay before hiring an Epic clinical analyst?

No upfront fee. You pay only if you hire. We offer a candidate replacement guarantee on standard search agreements. The applicable period and exact terms are set out in the signed client recruiting agreement.
